

efore running an event you must put in an event bid and have it approved by the council.
It's usually a good idea discuss the general idea for an event at council meeting before you put in too much work. Once you've found a spot in the calendar, you can prepare a formal bid, including site, staff (steward, cooks, marshals etc - the list varies according to the type of event) and a detailed budget. This needs to be approved at a council meeting before you can book venues or advertise an event. Please ask the seneschal, reeve, or an experienced steward if you need help in preparing a bid.
t the gate you will need the SCANZ-sign-in-forms (these also explain daymembership and its fee) and a copy of the incorporation rules.
It is a good idea to have copies of the membership form at the gate too, BUT even if they give you a form and payment for membership, they still count as daymembers for that event.
You can get a copy of the current membership list ('cos people always forget their cards) from the registrar. Let her know the last date that you can receive an emailed list.
f there is a Chirurgeon-in-Charge they will need: chirurgeon event report form, chirurgeon minor incident form and chirurgeon Universal incident report form. These go immediately to Kingdom Chirurgeon (or give them to the Baronial Chirurgeon to pass on so that they know it is done)
If there is no chirurgeon, but there are fighter injuries the Marshal-in-charge needs this: chirurgeon marshals_reporting form. Return it to the Baronial Marshal
It is a good idea for the Steward to fill this out and have it available: chirurgeon pre-site checklist, especially if there is no chirurgeon
he Lists Officer will need: Lists Reporting Form. Return it to the Baronial Lists Officer.
The Marshal-in-Charge will need:Marshals event report form. Return it to the Baronial Marshal
The Constable-in-Charge will need: Constable Reporting Form. Return it to the Baronial Constable.
fter the event you need to return an Ildhafn Final Budget form to the Baronial Reeve.
Return your SCANZ-sign-in-forms to the Baronial Seneschal who will forward it to the SCANZ treasurer.
